Position Profile

This position is responsible for coordinating key activities in support of ensuring alignment and effectiveness in the delivering of Pharmacovigilance, Quality & Safety project objectives. Key activities include but are not limited to: organizing schedules, resources and information for functional projects; preparing presentation material; developing team meeting and workshop agendas; performing scribe duties during team meetings and workshops; and performing administrative duties for Philadelphia and Ewing R&D leaders. 

This position has multiple roles with responsibilities split between Pharmacovigilance, Quality & Safety (PQS) Functional Project Management and Philadelphia & Ewing R&D leaders.  Fifty (50%) of the position responsibilities are specific to PQS Functional Project Management and are managed by the functional leader.  Fifty (50%) of the position responsibilities are specific to the Philadelphia & Ewing R&D leaders and are managed by the leader of PQS.

This position will be required to work from the Ewing, NJ office at least 1 day per week.  All other days will be worked from the Philadelphia office location.

Essential Functions

Pharmacovigilance, Quality & Safety (PQS) Responsibilities:

  • Coordinates project meetings, project schedules, resources, equipment and information
  • Liaises with stakeholders to identify and document project requirements, scope and objectives
  • Coordinates with procurement as applicable
  • Coordinates appropriate legal paperwork (e.g. contracts and terms of agreement)
  • Ensures stakeholders’ needs are met as the project evolves
  • Acts as the point of contact for project subject matter experts
  • Assists in the communication of project status as applicable
  • Assists in the development of comprehensive project documentation, plans and reports
  • Provides administrative) support to the PQS, Vice President
    • Manages calendar
    • Prepares travel arrangements and itineraries in accordance with Travel & Expense policy.
    • Prepares expense reports in accordance with Travel & Expense policy.

Philadelphia and Ewing R&D leaders Administrative Responsibilities:

  • Provides administrative support to the Philadelphia and Ewing R&D leaders according to the R&D administrative support matrix.
  • Collaborates with other R&D Administrative Assistants to provide exceptional global administrative support to R&D.
  • Prepares travel arrangements and itineraries in accordance with Travel & Expense policy.
  • Prepares expense reports in accordance with Travel & Expense policy.
  • Prepares, coordinates and manages contracts, purchase orders, check requests and invoice transmittal in accordance with applicable company policies and procedures.
  • Handles confidential and non-routine information for the individual/s supported.

Minimum Requirements

  • Minimum of 10 years professional experience in a senior level administrative role in support of one or more global leaders in a fast paced environment, preferably in a biotech or pharmaceuticals company.
  • Experience working in an international organization is required.
  • Proven proficiency in Microsoft Word, Excel, PowerPoint, and Visio.
  • Proven proficiency with Concur.
  • Effective written and oral communication skills, strong interpersonal skills, and problem-solving, and facilitation skills are a necessity.
  • Must be able to prioritize and multi-task, work effectively with little or no direction, and build collaborative relationships with management, partners and peers.
  • Exceptional organizational skills.
  • Must be able to work in a highly energetic, flexible, and fast paced environment.

Required/Preferred Education and Licenses

  • HS Diploma is required.
  • College-level course work is preferred.

Description of Physical Demands

  • Occasional mobility within office environment.
  • Routinely sitting for extended periods of time.
  • Constantly operating a computer, printer, telephone and other similar office machinery.

Description of Work Environment

  • Work indoors in normal office environment with little exposure to excessive noise, dust, fumes, vibrations and temperature changes.
  • Frequent computer use at workstation.
  • Will move from one office location to another weekly.
  • Responsibilities may require a work schedule that may include working outside of “normal” work hours, in order to meet business demands.
  • Business apparel may be required based on occasional public contact
