    Position Profile

    Title:    Early Development Outsourcing Contracts Administrator

    Department:    Early Development

    Job Responsibilities and Requirements:                                                 

    The Early Development Outsourcing Contracts Administrator will assist in contract management and outsourcing.  S/he must have an understanding of financial tracking and the ability to serve as a liaison between internal and external parties.

    Key Responsibilities: Contracts Management Support

    • Prepare vendor and documents for Legal/Financial review (e.g., W-9, Purchase Requisitions, Purchase Orders, Work Orders, Change Orders, Master Services Agreements, and Consulting Agreements); proactively ensure that document review is progressing in a timely manner
    • Process contract requests in data systems (enter requests and follow up with relevant parties as necessary)
    • Facilitate the document approval process, upload executed contracts in document system, and provide copies of executed contracts to R&D as necessary
    • Outsourcing Support
      • Coordinate with Early Development team members to  facilitate outsourcing contract requirements; act as a liaison for Financial/Legal approval of vendor engagement (consultants, contactors, academic institutions, hospital, etc.) 
      • Assist Early Development staff in reviewing vendor bids against forecasted budget, as well as aligning financial status of study costs with scope changes
      • Monitor open Purchase Orders for proactive management of funds to pay invoices in a timely manner; assist  Early Development staff with invoice issues
      • Provide manager with update status of active Contracts/Procurement
    • General  
      • Assist in the updating of tracking tools (spreadsheets, databases, etc.), and preparation of templates and process guidance
      • Assist with preparation of financial and organization review presentations
      • Assist in providing administrative support for the deparment.
      • Meet regularly with manager to discuss upcoming projects, studies, financial reports and support needs.
      • Coordinate with Early Development staff and the Accounting department to review open POs to collate monthly expense accruals

     Essential Requirements: 

    • Three to five years of experience in the pharmaceutical or biotechnology industry, performing financial tracking activities
    • Proficient with Excel and PowerPoint; and Cloud Solutions
    • Excellent verbal, written and interpersonal communication skills in a dynamic and growing organization; ability to prioritize and handle multiple tasks simultaneously
    • Attention to detail and the ability to spot errors and inconsistencies; strong organizational and documentation skills
    • Provide timely responses to Contracts and Procurement status.
    • Organize and Detailed-Oriented skills

    Bachelor Degree
